ServiceM8 + Xero – Your Perfect Pairing

ServiceM8 Xero

If you’re already using ServiceM8, you’re probably doing a decent job of running the front end of your business. Jobs, quotes, invoices, reminders, all that good stuff.

Where things often start to wobble a bit is accounting.

This is where connecting ServiceM8 to Xero genuinely makes life easier – in a “why didn’t I do this sooner?” way.

What actually happens when you connect ServiceM8 to Xero?

In simple terms:

  • Invoices created in ServiceM8 can automatically appear in Xero
  • Payments marked in Xero sync back to ServiceM8
  • Customer details and you pricing stay consistent across both systems
  • Less double entry, fewer mistakes, less admin

You’re not replacing ServiceM8 or Xero.

You’re letting each one do the job it’s best at.

Why this matters

Most trades I work with fall into one of these camps:

  • You hate admin but accept it’s unavoidable
  • You leave invoicing and accounts until it becomes urgent
  • You don’t really trust the numbers because they’re always behind
  • You rely on your accountant to tell you if things are “okay”

Sound familiar?

Connecting ServiceM8 to Xero doesn’t magically make you love accounting. But it does mean:

  • Your invoices don’t get forgotten
  • Your figures are more up-to-date
  • Your accountant gets cleaner data
  • You spend less time re-entering the same stuff twice

“Why Xero though? What about insert accounting software here?”

I get asked this a lot.

There are other accounting packages out there, and some of them do an okay job. But Xero tends to win for businesses like yours because:

  • It integrates properly with ServiceM8 (not a clunky half-sync)
  • It’s widely used by UK and Australian accountants
  • Bank feeds are reliable
  • It scales as your business grows
  • Support and documentation are actually decent

A quick reality check

This setup works best if:

  • You’re already invoicing consistently in ServiceM8
  • You want clearer financial visibility (even if you don’t look daily)
  • You don’t want to be doing admin twice

It won’t fix messy pricing. It won’t replace a good accountant. And it won’t suddenly make tax fun (sorry).

But it will give you a cleaner, calmer system.

Plus, I promise that it’s really easy to set up and get going with.

Is it difficult to connect the two?

I see so many customers who put off connecting the two because they’re worried it’ll be hard to do, but I promise – it’s easy – the ServiceM8 connection wizard walks you through all the steps.

Once connected, just go to ServiceM8 and account > settings > preferences > invoicing and take a screenshot of the xero settings to send them to your accountant to double check. Or drop me a line and I can walk you through it.

Final thought

If ServiceM8 is how you run your jobs, Xero is how you understand your business.

Together, they just make sense.

If you want to dig deeper into how this fits into a tidy, low-stress setup (or you’re not sure yours is configured properly), have a look around the rest of the my website. That’s exactly the stuff I help with.
